Longmont Water Heaters ("we", "us") operates the App as an internal customer relationship management system. This policy explains what information the App handles, including information obtained from QuickBooks Online.

1. Information we collect

• From QuickBooks Online: customer names, contact details (email, phone, billing and service addresses), invoices, estimates, payments, items/products and related account balances.
• Entered in the App: customer records, service history, notes, appointments and similar business records.
• User account data: names, email addresses and login activity of our staff who use the App.
• Authorization tokens: OAuth tokens issued by Intuit so the App can connect to QuickBooks. We never see or store your Intuit password.

2. How we use information

We use this information only to run our business: keeping customer records in sync between the App and QuickBooks, scheduling and tracking service work, invoicing and communicating with our customers.

3. Sharing

We do not sell, rent or trade personal information. We do not share it with third parties except (a) Intuit, as needed to sync with QuickBooks; (b) service providers that host or maintain our systems, under confidentiality obligations; or (c) when required by law.

4. Storage and security

Data is stored on our own servers accessed at crm.longmontwaterheaters.com. Access is limited to authorized staff with individual logins, connections are encrypted with HTTPS, and the App's QuickBooks credentials and tokens are kept only on the server, never hard-coded in public files or exposed in the browser.

5. Retention and deletion

We keep records as long as needed for business, tax and legal purposes. Disconnecting the App from QuickBooks (from within the App or from the Apps settings in QuickBooks Online) ends the App's access to QuickBooks data; no new data is pulled after that. Customers may ask us to access, correct or delete their information by contacting us below, subject to our legal record-keeping obligations.

6. Changes

We may update this policy and will change the "Last updated" date when we do.
